OPTIMUS FINANCIAL GROUP
OVERVIEW
Optimus Financial Group came to us with the objective of migrating their business’s data off their ageing IT infrastructure onto a more efficient, secure and reliable cloud based solution. Their hope was to remove their need for physical servers/hardware and also provide a more global working environment, reducing the importance of staying office based.
THE PROBLEM
Without disrupting operations or the bottom line, our client wanted their business operations to be based entirely in the cloud. We set out to implement and manage the migration of all existing data to Microsoft 365 and remove their need for physical hardware. Optimus Financial Group required little to no disruption to their daily operations, so we implemented their transition over a weekend period. This would allow them to start their working week with everything firing on full cylinders.
THE JOB SCOPE
A lot of data existed on our client’s old, insecure servers. By migrating everything to Microsoft 365, we provided a cloud solution that would not only make emails more secure and reliable, but files more accessible. Using the Microsoft suite, we moved all emails to Microsoft 365, then implemented Microsoft Azure as an identity management tool to relay who logged onto what resource and what actions they performed during a critical event. Microsoft Intune was set up for our client’s device management, where a policy was created to organise all workstations which securely provided login-specific access to any connected device, intuitively installing all files, applications and corporate policies required by the user. Because they store vast amounts of different client data, we moved everything to SharePoint, then worked with a third party to develop a document management solution to hook into Outlook that was simultaneously accessible on the web. This made working from home easier as files can now be accessed from any location. Finally, Trend was used for endpoint protection and Microsoft multiform authentication was rolled out across the board.
WHAT WE DID
To ensure the smooth rollout of these plans and avoid any client downtime, we do our cloud migration work after hours. For Optimus Financial Group we did the bulk of our work over Friday, Saturday and Sunday so everything would be ready and synced up for our client to hit the ground running on Monday morning. In the short period of a weekend, we transitioned the entirety of their firm from being fully dependent on physical servers to fully cloud-based.
THE OUTCOME
We minimised our client’s operational costs by setting up a cloud-based solution that is reliable, highly available and scalable to support the future growth of their business. They can now access their entire system, whether onsite or offsite, while all important information is in a safe environment, enforced by highly secure technology.
